Why is personal data processed?

The processing of personal data is necessary during the processing of job applications, suitability assessments and communication related to recruitment.

What is the basis for the processing of personal data?

The National Land Survey of Finland (NLS) processes personal data to comply with its statutory obligations.  

Whose personal data is processed?

The NLS processes the personal data of job applicants.  

What personal data is processed? 

The NLS processes information relevant to the recruitment process which the applicants themselves provide when submitting an application. This information includes but is not limited to:

  • Personal data: names, addresses, telephone numbers, email addresses, gender and any other personal data
  • Information provided by the individuals themselves: education and work experience, language skills and necessary information pertaining to the recruitment process such as CVs
  • Names and contact details of any referees.

If a suitability assessment is arranged in connection with the recruitment, the NLS also processes information about the individual’s suitability for the position at hand.

At the end of the recruitment process, the NLS will prepare an appointment memorandum where the merits of the applicants are compared in accordance with the Act on Public Officials in Central Government and guidelines by the Office for the Government as Employer.

A security clearance may be conducted for the individual selected for the position with the applicant’s consent.  

Is automated decision-making or profiling used?

The processing of personal data does not involve any automated decision-making or profiling.

How long is the personal data retained?

Applications will be deleted from the Valtiolle.fi service three months after the completion of the recruitment process.

The retention period of data related to a recruitment process of the NLS depends on the data or document. You may contact the registry (kirjaamo@nls.fi) if you wish to know the retention period of a specific piece of information or document. 

Where does the personal data come from?  

The NLS receives the information from the individuals themselves. 

To whom is personal data disclosed?

The NLS does not disclose data on a regular basis.

What are your rights in relation to the processing of your personal data?

You have the right to be informed whether the NLS is processing your personal data and if so, which data. You may submit a request to view your personal data using our form or submit a free-form request.

You have the right to request that the NLS rectifies any inaccurate personal data without undue delay. You may submit a request for rectification using our form or submit a free-form request.

Right to lodge a complaint with the Data Protection Ombudsman

You have the right to lodge a complaint with the Data Protection Ombudsman if you are of the opinion that the NLS has violated legislation on the processing of personal data.
