Why is personal data processed?
The purpose of the processing of personal data is to identify customers, personnel and service providers of the National Land Survey of Finland (NLS). The NLS uses personal data for the management of access rights, and for access control and facility monitoring purposes (e.g. camera surveillance).
What is the basis for the processing of personal data?
The processing of personal data is necessary to comply with the legal obligations of the NLS, as well as to perform a duty in the public interest.
Whose personal data is processed?
The NLS processes the personal data of individuals who use its facilities. Facility users include individuals who have independent access to the facilities and guests who, as a rule, are escorted.
What personal data is processed?
The NLS saves the following information about visitors:
- Names
- Organisational information
- Visiting times
- Names of individuals responsible for visits.
For persons with independent access to the facilities, the following data is stored:
- Names
- Organisational information
- Information about access IDs given (numbers)
- Identifier expiration dates.
The following data is saved by the access control system:
- Access control data (IDs used)
- Times
- Camera images that are not linked to any personal data (except if necessary in case of a suspected offence).
Is automated decision-making or profiling used?
The processing of personal data does not involve any automated decision-making or profiling.
How long is the personal data retained?
The NLS will retain the user data as long as the access ID is valid (applies to employees and other individuals with independent access). Visitor logs are retained for one year.
The NLS retains recorded images for six months and access control data for twelve months.
In the definition of the retention periods, the safety of the facilities and the personnel of the NLS have been taken into account.
Where does the personal data come from?
The NLS receives data in the following ways:
- From its HR system, organisations’ contact persons and Senate Properties
- From the individuals themselves (applies to visitors)
- From CCTV and access control systems.
To whom is personal data disclosed?
The NLS only discloses data to the police in connection with pre-trial investigations and to Senate Properties in order to maintain the access control system.
Personal data is not transferred outside the EU or the EEA.
What are your rights in relation to the processing of your personal data?
You have the right to be informed whether the NLS is processing your personal data and if so, which data. You may submit a request to view your personal data using our form or submit a free-form request.
You have the right to request that the NLS rectifies any inaccurate personal data without undue delay. You may submit a request for rectification using our form or submit a free-form request.
Right to lodge a complaint with the Data Protection Ombudsman
You have the right to lodge a complaint with the Data Protection Ombudsman if you are of the opinion that the NLS has violated legislation on the processing of personal data.
