Why is personal data processed?
The purpose of the processing of personal data is to identify customers, personnel and service providers of the National Land Survey of Finland (NLS). The NLS uses personal data for the management of access rights, as well as for recording the times of actions taken in its systems and their causes, i.e. when maintaining logs.
What is the basis for the processing of personal data?
The processing of personal data is necessary to comply with the legal obligations of the NLS, as well as to perform a duty in the public interest.
Whose personal data is processed?
The NLS processes the personal data of its own employees, users not in an employment relationship with the NLS (e.g. consultants) and external customers.
What personal data is processed?
The NLS saves the following data regarding its own employees and consultants as user data:
- Names
- Personal identity codes
- Unique identifiers for the individuals (AD identifiers)
- Work email addresses
- Job descriptions or titles
- Identifier details
- Identifier expiration dates
The NLS saves the following data as user data for external customers:
- Names
- Personal identity codes
- Usernames
- Work email addresses
Is automated decision-making or profiling used?
The processing of personal data does not involve any automated decision-making or profiling.
How long is the personal data retained?
The NLS makes inactive any usernames that are no longer in use, but permanently retains them.
Log data is retained in accordance with the log specifications of the information system, but for at most 11 years.
Where does the personal data come from?
The NLS receives data in the following ways:
- From its HR system or from the contact persons of other organisations
- From the individuals themselves or from user agreements in the case of contractual customers
To whom is personal data disclosed?
The NLS only discloses data to the police in connection with pre-trial investigations and to Senate Properties in order to maintain the access control system.
Personal data is not transferred outside the EU or EEA.
What are your rights in relation to the processing of your personal data?
You have the right to be informed whether the NLS is processing your personal data and if so, which data. You may submit a request to view your personal data using our form or submit a free-form request.
You have the right to request that the NLS rectifies any inaccurate personal data without undue delay. You may submit a request for rectification using our form or submit a free-form request.
Right to lodge a complaint with the Data Protection Ombudsman
You have the right to lodge a complaint with the Data Protection Ombudsman if you are of the opinion that the NLS has violated legislation on the processing of personal data.
